Change for SLAC Travel Reimbursement

Major Guideline Changes

All SLAC Staff were recently informed about significant changes in travel reimbursement guidelines resulting from language in the FY2000 Energy and Water Development Appropriations Act (see "All SLAC Staff" memo from Jerry Jobe, dated October 22, 1999).

Tips Are Available for Dealing With These Changes

To better serve the SLAC community in its efforts at travel cost reduction, the SLAC Travel Office has provided two web pages to view cost saving travel ideas. These new pages can be accessed via SLAC Travel Home Page at:

On the page entitled "Handy Tips from SLAC Travel Office", you will find suggestions from the SLAC Travel Office. The other page entitled "Tips from SLAC Travelers", has money-saving tips and comments that were sent in by other SLAC travelers. You can also share your cost saving tips with your SLAC colleagues through this web site.

These web pages also provide links to the Federal Travel Regulations (FTR’s) and other key information you will need for better understanding this recent federal mandate.

SLAC Recycling Program for Paper, Beverage Cans/Bottles, and Corrugated Cardboard

 Please Do Not Open or Forward Unknown Executables Attached to E-mails

SLAC Computing Services has been noticing a spate of viruses spread as e-mail attachments. One example is the "salary virus" which comes attached under many names such as:

  • salary.exe
  • salary survey.exe
  • survey.exe

The "salary virus" is a joke virus with no email bomb or system destructive capabilities, but it does take up e-mail bandwidth. However, other executables can be very destructive. This salary virus has been sent to SLAC users from several off-site sources, and SLAC users have forwarded this to hundreds of other SLAC users.

This is a reminder to not open executables that come as email attachments, unless you are sure there is a business purpose for the attachment. Examples of these attachments to beware of are files with extensions:

-- .exe

-- .vbx

Foreign Visitors May Need Extra Car Insurance

SLAC often arranges for visitors to have a rental car while at SLAC. If you host such visitors, please be sure they are told of the need to have separate insurance coverage for any personal use they may make of the rental car.

If the visitor is being paid or supported by SLAC, University-provided insurance will cover all work-related driving (such as getting to and from SLAC or doing SLAC-related activities at another lab such as LBNL). However, this insurance will not cover them when they drive to San Francisco or Napa or any place else as a personal excursion. Under our arrangement with AVCAR, the car rental price includes the work-related coverage. AVCAR offers coverage for personal use at an extra charge. Foreign visitors not supported by SLAC must independently obtain coverage for both business and personal use.

Information of General Interest

New Travel Agency for Stanford & SLAC

Effective December 13, 1999, Associated International Navigant Travel (known as Associated) will become Stanford University's new travel agent, replacing American Express Travel. The travel card will not change. The SLAC Travel Reimbursement Office will schedule times in November for focus groups to meet our new account manager from Associated. Associated will have a staff of 8 in their San Jose office, and one person on Campus dedicated to Stanford.

Associated is particularly aware of the requirements for improved service.
