Replacing Mailbox

This process needs to be coordinated with the user and all steps should be completed as quickly as possible once started.

Export the user's email to a PST file

  • Click on top level folder (e.g. Mailbox - Downey, Teresa)
  • File; Import and Export
  • Choose "export to a file" and press Next
  • Choose "personal folder file" and press Next
  • Place a checkmark in the "include subfolders" box
  • Press Next
  • Give the file a useful name so you can find it easily to import the mail back in a little later
  • Press Finish
  • A 200MB mailbox takes about 15 minutes to export
  • The file is usually written to: C:\documents & settings\<userid>\local settings\application data\microsoft\outlook\

Delete the existing mailbox

       From any Exchange managed tool installed host 

·         Start EMC

·         Click on Recipient Configuration on the left pane

·         Click on Find (Actions pane)

·         Enter user name in Search box, click Find Now

·         Right click on the user, click on Disable

·         There should be a warning and confirmation, go ahead and finish it

·         Leave EMC open for next task

To accomplish the same task by using EMS

Deleted mailbox will keep it up to 30 days by default.  You want to go ahead and remove it now before you can create a new mailbox for this user.

·         Start EMC

·         Expand Recipient Configuration, click on Disconnected Mailbox

·         Highlight the mailbox in question and then delete

·         Just confirm your selection

  • Quickly proceed with next step so that e-mail to the mailbox doesn't bounce

 

Now you can create the new mailbox with same name

 

From the Actions pane

·         Click on New Mailbox, select User Mailbox, click Next

·         Select Existing users: from User Type

·         Click on Add, put the user name in the Search box, and click Find Now

·         Once located, select the user, click OK, click Next

·         Pick the SG and database based on user’s first letter on Windows account

·         Click OK and make sure mailbox is created successfully

To accomplish the same task by using EMS

     First query mailbox database that user need to reside

  • Get-mailboxDatabase

    Then enable the mailbox for existing user

  • Enable-Mailbox –identity slac\username –Database Clusterinstance\Databasename

                                (i.e. cluster instance: exch-cluster1-01, Database name: DB-A1)

   Make sure command completed with any error or warning on EMS.

Import the user's e-mail ( get back into the mailbox with Outlook)

  • Start Outlook and get back into the user's mailbox
    • You may need to wait 5-10 minutes before this will work...
  • Click on top level folder (e.g. Mailbox - Downey, Teresa)
  • File; Import and Export
  • Keep the default of "import from another program or file" and press Next
  • Scroll down and choose "personal folder file" and press Next
  • Press Brows button and choose the file you saved in first step above
  • Press Next
  • Be sure to Include subfolders and make sure it is going to import items into the same folders in this person's profile
  • Press Finish
