Server Redirect

Since we switched to Exchange 2003 there is no way to redirect email to another location (and keep all the other recipients included in the message) using Outlook. Until Microsoft adds a "bounce" feature to Outlook we have to do it for the users on the server.

First find out where they want their email sent to and whether they want a copy of the email left on the server.

  • From Unix:
    • Add a mailrouter which is FirstnameLastname (e.g. vanceeschenburg)
    • Set it to point at the non-exchange address
    • Note the time you enter it. If you enter before 45 mins after hour then it will take effect at top of next hour. If it is 45 or later then it won't make it for at least an hour.
    • Example:
      ->res add user vanceeschenburg mail
      res_login: Enter afs password for admin id 'teresa-a'.
      Password:
      Enter person, '?', or 'quit': eschenburg
      Using Vance Eschenburg's id of 139645? (n | y | q): y
      Enter email dest '?', or 'quit': vance70@gmail.com
      Add mail entry vanceeschenburg for Vance Eschenburg? (n | y): y
      mail id vanceeschenburg added.
  • From Active Directory Users & Computers:
    • Create a "Contact" in SCS\Contacts folder
    • This Contact has the same name as mailrouter (e.g. vanceeschenburg)
      • Only fill in Fullname and Display name (e.g. vanceeschenburg in both fields)
      • Click Next
      • Leave the Create an Exchange e-mail address box checked
      • Press Modify button; select SMTP; click OK
      • Enter their mailrouter address (e.g. vanceeschenburg@slac.stanford.edu)
      • Click OK and then Finish
    • Go back to the "Contact" you just created and edit the following fields:
      Under Description, add "For email redirect"
      Under Office , add "Secondary Email"
  • Wait until after the Mailrouter entry has taken effect
    • Update the person's windows account to point to the new Contact
      • Exchange Management Console
      • Click on Recipient Configuration
      • From the Action pane to the right, Click Find
      • Enter the mailbox user id, Click Find Now
      • Right click on the mailbox, select Properties
      • Click on Mail Flow Settings
      • Double Click on Delivery Options button
      • Click Forward to and then Browse button
      • Enter the name of the Contact you created earlier and press OK
      • If the person wants a copy of the message left on the Exchange Server, then place a checkmark in the box next to 'Deliver messages to both forwarding address and mailbox.  IMPORTANT Note: If Calendar-users-only, you must check this box so the meeting requests can be processed.
  • Notify the user that it is done and send them a test message to their Exchange account
